Ceiling Fans Exporters in Bangladesh: Verified Supplier Checklist
A pre-order, numbered checklist for ceiling fan exporters in Bangladesh: confirm legal papers and ERC, factory capability, fan standards and model test reports, pricing and delivery terms, samples and packing, and HS and export documents before you order.
Short answer
Use this checklist before ordering ceiling fans from Bangladesh. Confirm the exporter's legal identity and ERC, check factory capability and quality certificate scope, require test reports for the exact model under the applicable fan standards, agree price, minimum order quantity, delivery rule and payment terms in writing, approve a sample, and confirm HS classification and export documents before signing.

On this page
Use this checklist before ordering from a ceiling fan exporter in Bangladesh, not after packing. It separates three questions: can the business legally export, can its factory make your specified fan, and does the deal protect you if something goes wrong. Keep dated copies of every document; treat anything unchecked as open, not a pass.
Why this checklist matters
Orders fail most often before production, when specification, paperwork, or payment terms are left vague. A supplier may make fans in general yet be wrong for your model, market, or delivery date. Checking identity, factory capability, conformity, and commercial terms together catches that mismatch early.
It is a pre-order tool, not shipment inspection: once goods are finished, use the separate ceiling fans quality control checklist for the finished shipment.
Before you start
Write down your requirements first: fan type, sweep size, motor type, voltage and frequency for the destination, blade material and finish, regulator or remote control, colour, and carton quantity. If any are open, two suppliers can quote different products under the same description, leaving no fair basis for comparison.
Use one comparison sheet, one row per supplier and one column per item, ask every supplier the same questions, and mark memory-based answers unconfirmed until the document arrives.

The full checklist (numbered, printable)
Mark each item pass, fail, or unconfirmed. A fail on identity, export eligibility, or product conformity should stop the process. A fail on a commercial item should be priced or renegotiated, not ignored.
Identity and legal standing
Documents typically requested for an Export Registration Certificate (ERC) in Bangladesh include trade licence, TIN certificate, chamber membership certificate, and identity documents, plus incorporation documents for limited companies and a partnership deed for partnerships.1
Confirm the full legal name as on trade licence and tax documents, matching quotations and the proforma invoice.
Confirm company type; ask for matching incorporation or partnership document.1
Ask for the trade licence; check its expiry date, activity wording, and registered address.
Ask for the TIN certificate; check that name and address match the trade licence.
Ask for chamber membership evidence; check its expiry date.
Ask for the ERC; check it is current, names the exporter, and stays valid past the shipment date.
Factory and production capability
A certificate alone does not prove a factory can make your fan. Ask for ceiling-fan-specific evidence. Where a quality certificate is offered, check its scope: it defines the products, services, and activities covered.2
Confirm whether the supplier manufactures, assembles, or trades ceiling fans, and which stages it controls.
Ask for factory address; confirm it matches supplied documents; ask about subcontracted stages.
Ask for the current range in writing: models, sweep sizes, motor types in production, and made-to-order models.
Ask how blade, motor, regulator, or finish changes after sampling are handled, in writing.
Where a quality certificate is claimed, check scope, expiry date, and certifying body; confirm ceiling fans fall inside that scope.2
Ask for quality contact and escalation route if a sample or batch fails.
Product conformity and test evidence
IEC 60879:2019 specifies performance-measuring methods for comfort fans and regulators, treats ceiling fans as a separate group, and covers single-phase fans up to 250 V and under 125 W.3 IEC 60335-2-80 covers safety of household fans, lists ceiling fans as examples, and applies to separate controls.4 A Bangladesh catalogue lists BDS 818:1998 for electric circulating fans and regulators, including ceiling fans.5
Ask the supplier to name in writing the standards and edition or year for your fan.
Ask for test reports for the exact model, not a similar model; check model, laboratory, and standard.3 4
Ask whether the evidence covers performance, safety, or both; record any gap as open.3 4
Ask whether BDS 818 is claimed; if so, ask for the evidence behind that claim.5
Ask for rated voltage, frequency, and power input of the exact model; confirm destination suitability.3 4
Ask for regulator or control type; confirm coverage by the same safety evidence as the fan.4
Ask the retest rule if a report predates the order or a component changes.
Commercial terms, pricing, and payment
Incoterms 2020 rules define obligations for carriage and insurance, delivery and risk transfer, and related costs, while leaving title transfer and payment terms to the sale contract.6 Agree delivery rule, payment terms, and remedies separately.
Ask for a written quotation stating model, sweep, motor type, blade material, finish, regulator, carton quantity, and unit price.
Ask for the minimum order quantity for the exact model and finish; confirm whether it applies per model, colour, or shipment. See the MOQ minimum order quantity explainer first.
Ask for the Incoterms 2020 rule and named place; confirm freight and insurance payer, export and import clearance, and risk transfer point.6
Ask for payment terms in full: advance, balance trigger, instrument, currency, and bank charges bearer.
Ask for lead time in writing: sample approval, production, ready date, and what starts the clock.
Ask for the price validity period and the conditions for change, including components, freight, and currency.
Ask for defect, shortage, and late-delivery remedies in writing: replacement, repair, credit, claim deadline.
Samples, packaging, and labelling
A sample proves a product only if it matches bulk in every stated respect. Record approval in writing, tied to the purchase order, so later blade, motor, or finish changes need fresh approval.
Ask for a sample of the exact model, finish, and regulator; record date, model, and differences from quotation.
Ask for written sample approval terms: approver, recording method, and whether bulk may start before approval.
Ask for the carton specification: units per carton, dimensions, weight, and markings.
Ask for the labelling plan: model, voltage, frequency, power, and safety or origin marks; confirm against sample.4
Ask for the spares position: parts supplied with the order, and how later spares are ordered.
Logistics, classification, and export documents
Heading 8414.51 covers table, floor, wall, window, ceiling or roof fans with a self-contained motor up to 125 W.7 Confirm classification for your model and destination; national suffixes can differ.
Ask the supplier to confirm the HS heading for the exact model against the destination tariff.7
Ask which authorised dealer bank will handle the shipment, and what documents it requires.
Ask which export and shipping documents are issued, and who is responsible for each.
Reporting on Bangladesh Bank procedures describes exporters submitting signed hard copies of electronically filed export forms, with certified bills of export and shipping documents, to authorised dealers within 14 days of shipment.8 Ask the supplier to confirm that timetable.
Ask for the tracking route in writing: when the bill of lading or airway bill number is shared, and who notifies delays.
Common failures and how to fix them
The most common failure is a quotation that looks complete but leaves model, regulator, or finish undefined. Return it with missing fields marked and ask for a revised version before comparing prices.
The next failure is test evidence for a different model. Ask for the report for the exact model and check model name, laboratory, and standard.3 4 If unavailable, treat it as unconfirmed and require testing or change supplier.
Expired or mismatched documents are also common. An expired licence, ERC, or certificate, or a name differing between documents, should pause the order until a current, matching set is supplied.1 Do not accept a promise of renewal instead.
A fourth failure is a delivery rule agreed without consequences. If rule, named place, and insurance position are not written down, a freight or damage dispute has no agreed starting point.6 Write them into the purchase order.

How Exportain helps
Exportain is a B2B marketplace connecting buyers with Bangladeshi suppliers. Browse suppliers, then apply the identity, factory, and conformity sections to each shortlisted profile before requesting a quotation. Profile document and photo checks are a starting point, not a substitute, for your own checks.
Read how supplier verification works on Exportain, and use RFQs to send the same specification to several suppliers so quotations describe the same product. See also how to import ceiling fans from Bangladesh and the HS code for ceiling fans guide.
FAQs
When should this checklist be used?
Use it before ordering, and again when supplier, model, finish, regulator, or market changes. Use it in full for first orders; for repeat orders, re-check documents, certificate expiry dates, and changed items.
Who should complete it?
The buyer, or a buying agent or inspector acting on written instructions from the buyer. Whoever completes it needs your specification, the supplier documents, and authority to mark items unconfirmed and pause the order where evidence is missing.
What are the most common failures?
Undefined quotations, test evidence for a different model, expired or mismatched documents, and delivery rules agreed without consequences. Each is fixed from the written record: a revised quotation, a report for the exact model, a current matching set, or a delivery clause in the purchase order.
Can a third party do it?
Yes, if you give the third party your written specification, the checklist, and authority to request documents and pause the process where evidence is missing. Share sample approval authority in writing, and require a dated report naming the document behind each mark.
